Elections are held every year at the Annual Meeting in November. Notice of this meeting goes out not less than 60 days and not more than 10 days before the annual meeting (ByLaws 4.2).
There are a total of 5 seats on the Board. Depending on the year, there are either 2 or 3 seats up for election. Each is a 2 year term (ByLaws 5.2). For 2026 we have 2 seats open.
For the annual meeting to be called to order for the elections, a ten (10) percent quorum must be established (ByLaws 4.4).
This means 19 lots MUST be present either in person or via a proxy. If you cannot attend in person, you can download the proxy form on this page, fill it out, and hand it to a Board member or another Owner who is planning to attend in person. This persons vote is multiplied by the number of proxies they turn in.
You can nominate yourself or be nominated by someone else (ByLaws 6.1). If you would like to be on this years ballot, please submit the election candidate form.
If there are fewer candidates than open seats then there is no vote, and the candidates automatically win the seat(s).
If there are more candidates than open seats then there is a vote, and the candidates with the most votes win the seat(s).
Board members must attend at least 75% of meetings. Meetings are monthly on the 4th Thursday of the month.
Board members must actively participate in their duties of a Board member in addition to:
Having working knowledge and understanding of our ByLaws, CC&R's, and handbook.
Timely review and response to emails & ARC request.
Actively participate in regular discussions and cast votes when required.
Maintain confidentiality of item discussed in executive sessions.
Work with vendors including meeting them onsite.
Address community concerns within the bounds of powers of the Board.
Bring a positive and collaborative attitude.

If you are unable to attend the Annual meeting but want to have your vote counted or simply establish quorum, you can print a proxy form, fill it out and sign it. Then hand it to anyone who is planning to attend the meeting in person.
The proxy serves two purposes:
to grant another person the authority to vote on your behalf on any matter being voted on at the meeting, and
to help establish a quorum at the meeting.
If you prefer not to have another person vote for you, you may check the box at the bottom of the proxy form. This will still allow the designated person to use your ballot for quorum purposes only, not for voting on your behalf.
If you choose to allow the designated person to vote for you, please note that they cannot vote differently for you than they will for themselves. Therefore, please ensure that you trust this person to represent your voting preferences.
If you attend the meeting, the proxy is automatically voided as you will be present to cast your own vote.
Once you have given someone your proxy, you may revoke it for any reason by submitting a written request or by revoking it in person at the meeting.
